Privacy policy

Mantra Haircare LLC ("Mantra," "we," "our," "us") operates mantrahaircare.com and everything offered through it. This policy explains what personal information we collect, why we collect it, who else ever sees it, and the choices you have. It is written to be read, not decoded. Our store runs on Shopify, which processes information on our behalf.

The short version

  • We do not sell your personal information. We do not share it for cross-context behavioral advertising, we do not trade or rent it, and we do not hand it to data brokers or to other brands' mailing lists.
  • We use what we collect to fill your orders, take care of you afterwards, and send you our own marketing.
  • Email and text are separate. You can leave either one, or both, whenever you like, without leaving the other.
  • You can ask us for a copy of your information, ask us to correct it, or ask us to delete it.

What we collect

  • Contact and delivery details — your name, email address, mobile number, billing address and shipping address.
  • Order information — what you bought, what you paid, returns and exchanges, and the card type and last four digits of your payment method. Full card numbers go straight to our payment processor. We never see them and never store them.
  • Account information — your login details if you create an account, your saved preferences, and your order history.
  • Marketing preferences and consent records — whether you asked for email or text, the date and time you asked, the exact wording you agreed to, and any later opt-out. We keep these records so we can prove we only contacted you because you said yes.
  • Rewards information — your points balance and how you earned and spent it.
  • Reviews and content you submit — your rating, your words, any photos, and the display name you choose.
  • Messages you send us — customer service emails, texts and their contents.
  • Device and usage information — IP address, browser and device type, the pages you viewed and how you moved through the store, collected using cookies and similar technologies.

Where it comes from

  • Directly from you — at checkout (including guest checkout), when you create an account, when you play our on-site game, when you sign up for text messages, when you write a review, and when you contact us.
  • Automatically — from your browser and device as you use the store.
  • From the service providers who run parts of the store for us — for example our payment processor confirming a payment, or a carrier confirming a delivery.

Our on-site game

From time to time we run a game on the site: you play, and you win a discount code. To send you the code, we ask for your email address. Here is exactly what that means.

  • The outcome is determined by chance, and every valid play wins a code. No purchase is necessary to play.
  • We use the email address you enter to send you your code and to add you to our marketing email list.
  • Your code is yours to keep either way. You can unsubscribe from our emails the moment the code arrives and the code will still work.
  • Codes expire, are limited to one per order, cannot be combined with other offers, have no cash value, and cannot be exchanged for cash or store credit.

Text messages are optional

If you choose to, you can give us your mobile number to receive marketing text messages. This is a separate, optional step. It is never required and it is never pre-selected for you.

  • Program: Mantra Haircare Alerts — recurring automated marketing text messages about new products, restocks, offers and events.
  • Message frequency: up to 6 messages per month. Frequency varies.
  • Message and data rates may apply.
  • Reply STOP to any message to cancel. Reply HELP for help, or reach us through our Contact page.
  • Consent to receive text messages is not a condition of any purchase. You can buy anything we sell without ever giving us your mobile number.
  • You must be at least 18 and either the account holder for the mobile number or authorized by the account holder to sign it up.
  • Carriers are not liable for delayed or undelivered messages.
  • Typing your phone number at checkout does not sign you up for marketing texts. A number given at checkout is used only to reach you about your order or a delivery problem. We will only send you marketing texts if you separately and knowingly opted in.

Guest checkout and your customer profile

You do not need an account to order from us. But we want to be straightforward about what happens to the details you type when you check out as a guest.

When you place an order — as a guest or with an account — we keep the name, email address, phone number and shipping address you entered, and we attach them to a single ongoing customer profile identified by your email address. If you order again later as a guest with the same email address, that order joins the same profile rather than creating a new one.

We do this so we can look up your order history when you contact us, so returns and exchanges are simple, so we can spot fraudulent orders, and so we can send you our own marketing email about products we think you will like. Every marketing email we send has an unsubscribe link, and one click is all it takes. The phone number from your order is used for delivery and order problems only — it is not added to our text message program unless you separately opted in.

Rewards points

If you join our rewards program, we keep your points balance and a record of how you earned and redeemed points, linked to your email address. The full program rules — how you earn, how you redeem, when points expire, what happens if you return an order, and our right to change or end the program — are in our Terms of Service.

Review requests, and reviews we give something for

After your order arrives we may email you and ask you to review what you bought. Sometimes we offer something in return — for example rewards points or a discount code. When we do:

  • We tell you the review is incentivised, and we label it as incentivised where it appears on our site, so other shoppers know a reviewer received something.
  • The incentive does not depend on the review being positive. You get it for an honest review, whatever it says. We do not offer more for a good review, we do not withhold anything for a bad one, and we never ask you to change or take down a review to receive it.
  • We do not write reviews ourselves, we do not have anyone write them for us, and we do not suppress genuine negative reviews.
  • Anything you put in a review — your words, your rating, your photos and your display name — is published publicly. Please do not include anything you would not want the world to read.

How we use your information

  • To fill your order — take payment, ship it, keep you updated, and handle returns, exchanges and refunds.
  • To support you — answer your questions and resolve problems.
  • To market our own products to you — email if you have not opted out, and text only if you opted in. This is our own marketing, for our own brand. We do not market anyone else's products to you and we do not let anyone else market to our list.
  • To run our rewards program and honour your points.
  • To keep the store safe — prevent and investigate fraud, abuse and misuse.
  • To improve the store — understand which products and pages people find useful.
  • To meet our legal obligations — tax and accounting records, and responding to lawful requests.

We do not sell or share your personal information

We do not sell your personal information for money or for anything else of value. We do not share it for cross-context behavioral advertising — that is, we do not pass your information to other companies so they can target ads at you as you move around the internet. We do not rent, trade or swap our customer list. We do not supply it to data brokers, marketing co-ops, or other retailers.

The information we hold about you is used by us, for our own store and our own marketing. That is the whole of it.

Who we do share it with

We use a small number of service providers to run the store. They may only use your information to perform that work for us, and they are not permitted to use it for their own purposes:

  • Shopify — hosts our store and checkout. Shopify's own handling of your information is described in the Shopify Consumer Privacy Policy, and you can exercise rights against Shopify directly at privacy.shopify.com.
  • Payment processors — to take your payment securely.
  • Shipping carriers and fulfilment — to get your order to your door.
  • Our email and text message platforms — to send the messages you asked for and to honour your opt-outs.
  • Our reviews platform and rewards platform — to collect reviews and track points.
  • Analytics providers — to understand how the store is used.

We may also disclose information when the law requires it, to respond to a valid legal request, to protect our rights or the safety of others, or in connection with a sale or reorganisation of the business — in which case we will tell you before your information becomes subject to a different privacy policy.

Cookies, analytics, and Do Not Track

We use cookies and similar technologies to keep your cart working, remember your preferences, and understand how the store is used. You can block or delete cookies in your browser settings, though parts of the store may stop working properly if you do.

Some browsers can send a "Do Not Track" signal or a Global Privacy Control signal, which ask a website not to sell or share your information or track you across other companies' websites for advertising. We do not sell or share personal information and we do not track you across other companies' websites for advertising, so there is nothing for these signals to switch off — the practices they are designed to stop are practices we do not engage in. We do not permit third parties to collect personal information about your activity across different websites when you visit our store.

Your choices, channel by channel

  • Marketing email: click the unsubscribe link at the bottom of any marketing email, or contact us and ask. This stops marketing email only — we will still send order confirmations, shipping notices and replies to your questions, because those are about an order you placed.
  • Text messages: reply STOP to any message from us. You will get one final message confirming you are unsubscribed, and then nothing further. Leaving text messages does not unsubscribe you from email, and unsubscribing from email does not stop text messages. They are separate lists and you control them separately.
  • Both at once: contact us and say so, and we will remove you from both.
  • Rewards program: ask us to close your rewards account. Any unredeemed points are forfeited when you do.
  • Your account details: if you have an account you can update your name, addresses and contact details by signing in.

Asking for a copy, a correction, or deletion

You can ask us to give you a copy of the personal information we hold about you, correct anything that is wrong, or delete it. Reach us through our Contact page with the subject line Privacy request and tell us which you want.

We may need to confirm you are who you say you are before we act — usually by asking you to reply from the email address on the account or to confirm details of a recent order. We will respond within 45 days. We will not charge you and we will not treat you any differently for asking.

Two honest caveats about deletion. First, we have to keep basic records of completed orders for tax and accounting purposes, so we may retain the transaction record even after deleting your profile. Second, when you unsubscribe or ask to be deleted we keep the minimum record needed to make sure you are not accidentally added back — an email address or number on a do-not-contact list. That record exists only to keep us from contacting you.

Children

Our store is intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us their information, contact us and we will delete it. We do not sell or share the personal information of anyone under 16, because we do not sell or share anyone's.

Security and how long we keep things

We take reasonable steps to protect your information, and our checkout and payments are handled on Shopify's secure infrastructure. No system is perfectly secure, and we cannot guarantee that information sent to us over the internet is safe in transit — please do not send us sensitive information by email.

We keep your information for as long as we need it: to maintain your account and order history, to honour your rewards points, to meet tax and legal obligations, and to resolve disputes. When we no longer need it, we delete it or de-identify it.

Where your information is processed

We sell within the United States only. Your information is processed in the United States, and our service providers — including Shopify — may process or store it in other countries where they operate.

Changes to this policy

We may update this policy as our practices change. When we do, we will post the new version here and update the date at the top. If we ever want to use information we already hold in a materially different way than we described when we collected it, we will tell you before we do it, and get your agreement where the law requires it.
